The security of your information is our top priority at Dorms.com  and you can be confident that your personal details and credit card details are safe.

Payment Security

Your personal and credit card information is fully encrypted and protected (SSL). This information will never be shared, rented or sold to any third party individual or company.

What information do we collect from our users?

We only collect personal information from users when they register online and purchase online. This information includes a name, an email address, a mailing address, gender, country of origin and the information contained in the credit card transaction when purchasing products.

When you visit our websites or apps we also automatically collect certain information. This includes your IP address, the date and time you accessed our services, the hardware, software or internet browser
you use, information about your computer’s operating system, and information about your location. We also collect information about clicks and which pages have been shown to you. If you are using a mobile device, we collect data that identifies your mobile device, device-specific settings and characteristics, app crashes and other system activity.

If you use our online or telephone based customer service, we may collect information related to your inquiry. This information is kept for two months and then deleted.

To process your personal data as described above, Dorms.com relies on the legal basis that the processing of the personal data is necessary for the performance of a contract, specifically to finalize and administer your reservation. If the required personal data is not provided, Dorms.com cannot finalize the reservation, nor can we provide customer service. In view of the other purposes described above for which Dorms.com processes personal information, Dorms.com relies on its legitimate commercial business interest to provide its services, to prevent fraud, and to improve its services.

What third parties can access your information?

We are required to pass on your details to the accomodation with whom you make your booking. This is so that they can make your reservation in their system, anticipate your arrival and provide you with the best possible service.

Credit card payments are processed through an encrypted and protected (SSL).

Dorms.com does not currently integrate with other accommodation sites. If and when this changes, we will update this Privacy Policy accordingly. Some of the activities advertised on Dorms.com may be organized through third party wholesalers, meaning that we will share your personal information with those wholesalers when you purchase such products through Dorms.com.

Third party vendors, including Google, use cookies to serve ads based on a user’s prior visits to your website or other websites. Google’s use of advertising cookies enables it and its partners to serve ads to your users based on their visit to your sites and/or other sites on the Internet. We also use a number of third-party vendors to understand website usage and host our customer support systems. Our third-party vendors are GDPR-compliant, and we have entered into the necessary contractual arrangements that they are under the same obligations to protect your data as we are.

Transfers to third countries

The transmission of personal data as described in this Privacy Statement may include overseas transfers of personal data to countries whose data protection laws are not as comprehensive as those of the countries within the European Union. Where required by European law, we shall only transfer personal data to recipients offering an adequate level of data protection. In these situations, as may be required, we make contractual arrangements to ensure that your personal data is still protected in line with European standards. How do we use this information?

The information that you provide us, and identifies you personally, is not shared with third parties other than for billing, mailing and reservation purposes.

From time we may use your information for marketing purposes to make your aware of special offers, rewards and discounts.We only contact people who specifically have requested or opted to receive our free newsletters or who have purchased one of our products. You can chose to opt-out by hitting unsubscribe.

We will retain your information for as long as necessary to complete your booking. (3 months for marketing purposes or until you chose to opt-out) .

What are cookies, clear GIFs and how do we use them?

Like many other commercial sites, our site uses standard technology called “cookies” and “clear GIFs (Graphics Interchange Format) to collect information about how our website is used.

A cookie is a small data text file that a website saves on the hard drive of your computer (if your browser allows it), which can be found later to identify yourself to the website. Cookies are designed to help the website recognize a user’s browser as a previous visitor, and to save and remember any preferences that may have been selected while navigating their site.

A cookie cannot be read by any site other than the one that placed the cookie in the first place.  Also, a cookie cannot transmit computer viruses or capture personal information that may reside in your computer.

Sometimes we work with external partner service companies that employ clear GIFs to help us measure the effectiveness of advertising. Clear GIFs are tiny graphics (the size of a punctuation mark) that contain unique identifiers that help us monitor online activity. The main difference between cookies and clear GIFs is that the latter do not use or bear personal data, but merely track the traffic and behaviour of visitors to, from and within multiple websites.

How do we protect your information?

Your personal information is stored in a fully secured server which has technical and physical security measures to prevent unauthorized access. This information is only accessible to associates who manage our distribution list. Only authorised staff have access to your information and all of our staff are subject to non-disclosure agreements.

Your rights

We take every reasonable step to secure your data in line with the General Data Protection Regulation and Data Protection Principles. As such, if you are EU resident you have the right at any time to request a copy of the data that we store about you. We will endeavour to provide you with a copy within 30 days or sooner. You have the right to have your data amended if it is incorrect but please be advised that we may required to take steps to verify the information. You can request that we delete your data at any time and we will do so immediately. Finally, you have the right to take any complaints about how we process your data to the Data Protection Authority in your country.
